Who we are

We are Gwent Mountaineering Club. Our aim is to foster mountaineering activities (including but not exclusively mountain walking and scrambling, rock climbing, snow and ice climbing, camping and backpacking, orienteering, fell running and ski mountaineering) in the British Isles and elsewhere. We bring people interested in these pursuits together. We’re affiliated to the British Mountaineering Council (BMC).

The data we collect

We collect and hold such personal information as is necessary for the administration of the Club and its organised events, and for the safety of its members. This includes but is not limited to:

  • Your full name, date of birth, and contact details including home address, telephone number(s) and email address(es)
  • A list of mountain activities you have expressed interest in
  • Contact details of a relation, partner or friend we can contact in case of emergency.

If you are a potential new member interested in joining us we will collect this information when you first register. Prior to you paying a membership fee, we will record dates on which you participate in our events as a guest. This is for combined liability insurance cover in case of an accident.

From time to time we may ask for additional information in connection with the organisation of specific Club events. This can include, for example, medical information, dietary information, next of kin details, etc. necessary for the safe conduct of an event.

Who we share your data with

We do not share personal information with third-parties, except in the case of affiliating a member or potential member with the sport’s national governing body, the BMC for membership purposes including combined liability insurance cover.

If you have agreed to sharing contact details during the registration process, we may share name, email, and phone number with other member(s) on request to facilitate ad-hoc arrangement of mountain activities.

How long we retain your data

When you register with us (either via our website or via another method) we store your personal information. We keep your personal information as part of our membership records for as long as you maintain Club membership. If your membership ends, and unless you tell us otherwise we will store the most recent contact information we have about you in a list of past members.

Photographic images

Many of our Club members take and share photographs during the course of Club activities and events. Sharing can and does take place via websites and social media. We may use certain images to illustrate Club events on our own Club website, social media and other promotional items we produce from time to time.

If you do not want any photograph of you appearing on websites and social media, please ask the photographer not to share it.

Analytics

For the purpose of monitoring the reach, use and effectiveness of our website(s) and social media we use analytics tools such as those provided by Google, Facebook and others. These tools collect and process data and monitor your interactions with the content.

What rights you have over your data

You can request a copy of the personal data we hold about you, including any data you have provided to us. You can also request that we erase personal data we hold about you. This does not include any data we must keep for administrative purpose as set out above, or that which we are obliged to keep for legal and security purposes.
